Settings in Teams for telephony

Using selected functions in Teams telephony

Set up call forwarding
  • SettingsCallsCall handling and forwarding
  • "Forward all calls" - OFF
  • "If you cannot answer a call" - Forward to voicemail

    Note: "Voicemail" means: The recorded message arrives as an e-mail in your Exchange mailbox.
Defining call groups or deputies
With a defined call group, call group members can receive calls on behalf of a person.

    "Add call group" button
Deputies can make and receive calls on your behalf. They will be notified when you change the call settings to forward your calls to them.

Define behavior for busy line or "do not disturb" status
  • SettingsCallsCall handling and -forwarding
  • Set option "If you are currently making a call and receive another call"

    Meaning:
Play busy tone
- Regular tone for the caller, no further action.
Let calls ring on my phone
- Rings even though you are on a call.
Divert as if the call was unanswered
- The setting under"If you cannot answer a call" is used.

How can I call a colleague?

Via Teams
Calls" icon - option 1
  • Enterextension number or complete external number via keypad or input field
  • Button "Call" button Select
    - The connection is established.
    -For internal telephone numbers, the name of the person called is displayed.
Calls" icon - option 2
  • Enter the name of the person you are calling

    →Search result is displayed
    Attention: Unfortunately, an invalid number is displayed here in the first place. This number has nothing to do with the person you are actually looking for and must be ignored!
  • You will find the correct contact in the lower part of the search result →click on →Button"Call"
In a chat
  • Open the menu at the video icon at the top right → Select audio call
Via the search field in the header
  • Search for the name of the other party
  • Display the business card for the contact in the search result (visible on mouseover)

    → Click on the"Business card"icon
  • Click on the small phone icon in the business card pop-up window
Via Outlook
  • Open mail
    • Search for the desired contact in the TO field of a new mail
    • Use the email address displayed in a received email
  • Place the mouse over the email address, wait ...
  • Selectthe telephone symbol → The call is established
  • Alternatively: wait longer until further information about the contact appears
  • Now either click on the telephone symbol or in the lower part (wait a little longer) on the number → call.
Via the communication directory at KIT ...
  • Search for the desired person via the communication directory (KIT - Intranet - About KIT - Organization - People search)

    Click on phone number

  • Open button

  • Select Microsoft Teams Always specify Call

    Note: The last two windows (appearance depends on the browser) should only appear once with "Always".
