Simplified Booking of Cloud Services and Software Licenses

SCC is launching a self-service portal for software licenses. A new booking process and centralized license procurement will reduce administrative overhead and costs.

Digital Forms for Easy License Booking

SCC, in collaboration with the Purchasing, Sales, and Materials Management business unit (EVM), has established a new process for booking cloud services and software licenses. The target was to significantly reduce the previously high administrative burden caused by numerous individual transactions made with KIT credit cards.

At the heart of the new offering is a self-service portal through which users can purchase software licenses. This portal replaces KIT’s previous software store. Licenses are currently available for Adobe and DeepL. Existing DeepL subscriptions are being gradually transferred to a central KIT contract. In addition, a data processing agreement compliant with data protection regulations has been concluded for the use of DeepL licenses.

Licenses are procured centrally by the SCC. This allows for the use of volume discounts, making the licenses more affordable. The costs are allocated to the cost centers of the respective organizational units based on the corresponding bookings.

In the future, the process is to be expanded to include an approval workflow that allows for approval by budget managers.
